The risk you probably already have

Are your staff pasting client information into ChatGPT?

They use it because it saves time. The problem is what goes in: a client's name, their immigration status, a diagnosis, a child's school situation, a case note to "clean up".

What happens to that information on a personal or free account:
  • On personal ChatGPT accounts, conversations can be used to train OpenAI's models unless the user has switched that setting off.
  • On personal Gemini accounts, some chats are read by human reviewers and can be kept for up to three years.
  • It is processed outside your organization, usually in the United States, by a company you have no agreement with. Once it is sent, you cannot take it back.
  • In May 2026, Canada's privacy commissioners found that OpenAI's early training of ChatGPT did not follow Canadian privacy laws.

Your organization stays responsible for that information, even when a staff member pasted it in with good intentions.

The answer

A private AI assistant, built on your own information.

Your team asks questions in plain English, and the assistant answers from your own records. It is not ChatGPT, and nothing goes to OpenAI, Google or any other public AI service.

How it is built

    It connects to the information you choose, such as spreadsheets and records. It can look, but it cannot change or delete anything.

    Calculation engine

    Every number is worked out in code from your records, so the AI never makes up a figure.

    Private AI model

    Our own copy of an open source AI model writes the answer. It never learns from or trains on your information.

    Your team

    Only approved staff can use it. Every question is logged, and everything is deleted when you stop.

Today the assistant's model runs under my account on rented servers from Modal, a US cloud company. That is why every project starts with information that does not identify clients, such as program numbers, schedules and policies. Moving it to Canadian servers comes before any client records are connected.

We've been building safe AI automations since 2023. Based in Ajax, Ontario, we build private AI assistants, automated reports and workflow automations for organizations, and we teach teams to use AI safely. Our clients include organizations in franchising, youth sports, health and wellness, and real estate.
